As the winter months approach, The University of New Mexico Human Resources department would like to clarify the process for University closures and time entry for regular staff working .50 fte or above.

As per Policy 3415: Leave With Pay, Section 3.1. University or Branch Closure, “Eligible employees use leave with pay on those occasions when the University is declared closed by the University President… In instances where the President declares the University closed, employees should follow the procedures discussed in UAP 3435 - Inclement Weather.”

If the time has not yet been captured, then the earn code used should be 300. If time has already been captured as regular earning (010 earn code) on the time sheet, then the time keeper should document in the comments section that this is due to the university closure.  Please instruct the employee to code the time as paid time on the Standard Time Sheet. Paid time off taken due to university closure does not count towards overtime calculation. Employees previously scheduled to be on annual and/or sick leave will record their time as annual and/or sick leave.  

Only non-exempt employees designated as critical or required by their supervisors to work during the periods when the university was closed will receive compensatory time off in addition to the hours they worked. Compensatory time will be paid at the straight time rate, for actual hours worked during the delay or closure. Compensatory time taken in such cases shall not be considered as time worked for overtime compensation purposes. Exempt employees do not accrue compensatory time.

Temporary and on-call staff, as well as student employees, are not paid for time off due to a university closure. If a manager has questions regarding comp time, they should contact their HR Consultant.

The University of New Mexico will observe Winter Break on Dec. 23, 24, 25 and Dec. 28, 29, 30, 31 as well as Jan. 1, 2016.
